Read the terms and conditions for using the Cafecito Sol Catering services.

These Terms and Conditions ("Terms") govern the provision of coffee catering services ("Services") by Cafecito Sol ("Company", "we", "us", or "our") to you ("Client", "you", or "your"). By booking our Services, you agree to be bound by these Terms.


1. Booking and Payment

  • Deposit: A 50% non-refundable deposit is required to secure your event date. The deposit will be applied toward the total cost of your booking.
  • Final Payment: The remaining balance is due 60 days prior to the event and due 30 days prior to the event if booked within less than 60 days. Failure to pay the final balance may result in cancellation of your booking.
  • Late Payments: Late payments will incur additional fees of 5% of the entire booking fee per week or result in service cancellation at Cafecito Sol’s discretion.

2. Event Requirements and Restrictions

  • Space: A minimum area of 6 feet by 6 feet is required for the coffee cart setup.
  • Power Supply: One dedicated 120V/15A circuit must be available within 50 feet of the cart. Without adequate power, espresso-based drinks cannot be provided and no refund will be issued.
  • Weather Conditions: Cafecito Sol reserves the right to cancel or reschedule an event if the temperature is below 40°F or above 90°F due to equipment limitations and safety concerns.
  • Access: The event location must be accessible for cart setup and breakdown (no stairs, steep inclines, or unpaved surfaces unless previously agreed upon).
  • Set-Up and Clean-Up: Cafecito Sol will need access to the venue no later than 1.5 hours before the start time and 1 hour after the end time for clean-up and load-out.
  • Permits and Licenses: Client is responsible for ensuring the event venue allows mobile food/beverage services and for obtaining any necessary permits or permissions

3. Cancellation and Rescheduling

  • Cancellation by Client: The 50% deposit is non-refundable. If the event is canceled within 30 days of the scheduled date, the full balance is due.
  • Cancellation by Cafecito Sol: In the event of cancellation by Cafecito Sol (e.g., due to severe weather, equipment failure, or other unforeseen circumstances), a full refund or rescheduling will be offered.
  • Rescheduling: Requests to reschedule must be made at least 14 days prior to the event. Rescheduling is subject to availability.

4. Liability and Insurance

  • Liability: Cafecito Sol is not responsible for any injury, damage, or loss resulting from the use of the coffee cart, except in cases of proven negligence by Cafecito Sol.
  • Equipment Damage: The client is responsible for any damage to the cart or equipment caused by event guests or venue staff.
  • Indemnification: Client agrees to indemnify and hold harmless Cafecito Sol from any claims, damages, or expenses arising from the event, except in cases of Cafecito Sol’s negligence.
  • Allergies and Dietary Restrictions: Client is responsible for informing guests of ingredients and potential allergens. Cafecito Sol will provide ingredient lists upon request but cannot guarantee allergen-free environments.

5. Event Duration and Overtime

  • Service Duration: The standard booking includes up to 2 hours of service. Additional hours are available at $150 per hour and must be requested and paid in advance.
  • Overtime: If the event runs longer than the agreed time and Cafecito Sol is available to remain, overtime charges will apply.

6. Additional Services and Customization

  • Customization: Custom cups, signage, and signature drinks may be available for an additional fee. Requests must be made at least 30 days prior to the event.
  • Menu: The standard menu includes espresso, americano, cappuccino, latte, tea, and hot chocolate. Specialty or seasonal items may be available upon request.

7. Force Majeure

  • Unforeseen Circumstances: Cafecito Sol is not liable for failure to perform due to circumstances beyond its reasonable control, including but not limited to acts of nature, government restrictions, or public health emergencies.

8.Miscellaneous

  • Entire Agreement: These terms and conditions, together with any attachments or addenda, constitute the entire agreement between the client and Cafecito Sol.
  • Severability: If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
  • Governing Law: These terms shall be governed by and construed in accordance with the laws of the State of Washington. Any disputes shall be resolved in the courts of Snohomish County, Washington.
  • Photography and Promotion: Cafecito Sol reserves the right to use photographs and video from the event for marketing and promotional purposes, unless otherwise agreed in writing by the client.
  • Conduct: Cafecito Sol reserves the right to refuse service to any guest for any reason, including but not limited to intoxication, disruptive behavior, or violation of health and safety policies.
